From Reactive to Preventive Maintenance: Strategies for Extending Asset Lifespan in Ghana's Facilities Management Sector

Abstract

Effective maintenance is essential for sustaining the capacity of facilities to deliver services and support organisational functions. However, effective maintenance practices remain insufficiently established in many developing countries. In Ghana, infrastructure has expanded rapidly, but facilities management practices have not consistently kept pace, contributing to the deterioration of assets before the end of their expected service lives. This study examined facilities management maintenance practices and strategies for extending asset lifespan. A deductive, quantitative design underpinned by the positivist paradigm was adopted. Data were collected through structured questionnaires administered to construction and facilities management practitioners in the Greater Accra and Ashanti regions of Ghana. Of the 167 questionnaires distributed, 123 were returned, and 114 valid responses remained after data cleaning. The data were analysed using descriptive statistics, reliability analysis, mean-score ranking, normalisation, and one-sample t-tests. The findings indicate moderate familiarity with routine practices, including asset documentation and cleaning and housekeeping, whereas familiarity with advanced predictive and diagnostic techniques remains limited. The principal challenges were limited training and capacity development, poor resource management, inadequate funding, weak regulatory compliance, and the absence of formal maintenance policies. Seven impact areas were statistically significant, including safety and risk reduction, regulatory compliance, cultural and capacity development, institutional image and trust, technology enablement, employment and skills development, and resource utilisation optimisation. The study concludes that facilities management in Ghana remains predominantly reactive and requires strengthened policy frameworks, capacity development, governance, and systematic preventive maintenance practices.
